We handle personal information in accordance with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).

1. What this policy covers

This Privacy Policy applies to personal information collected through our website, our booking platform, our communications with you, and our facility at 2044 Dewdney Ave, Regina, Saskatchewan (the "Premises"). By using our website, services, or Premises, you consent to the collection, use, and disclosure of your personal information as described here.

2. Information we collect

Information you give us

- Contact and account details, such as your name, email address, phone number, and login information.

- Booking and membership details, such as your booking dates and times, bay type, membership tier, billing frequency, and booking history.

- Waiver information, including your name, date of signing, electronic signature, phone number, and the names of any minors attending with you.

- Payment information, which is processed by Square. We receive limited details such as card type, the last four digits, and expiry date, and we do not store your full card number.

- Messages you send us and information you provide when you join our waitlist or newsletter.

Information collected at the Premises

- Video and audio recordings from closed-circuit cameras throughout the Premises, excluding washrooms.

- Records of when access codes are used to enter the Premises.

Information collected on our website

- Technical and usage information collected through cookies and similar technologies, including your IP address, device and browser type, pages visited, referring website, approximate location, and how you interact with the site.

3. How we use your information

We use personal information to:

- Process bookings, memberships, and payments.

- Send booking confirmations, access codes, reminders, and other service messages.

- Manage your account and respond to your questions.

- Keep the Premises safe and secure, and protect our equipment and property.

- Enforce our Terms of Use, the Waiver, and our facility rules, including charging applicable fees.

- Investigate incidents and support insurance claims or police investigations.

- Send newsletters and promotional emails, where you have consented. You can unsubscribe at any time.

- Understand how our website is used and measure the performance of our advertising.

- Meet our legal, accounting, and tax obligations.

4. Video and audio surveillance

The Premises are monitored 24 hours a day by closed-circuit cameras that record both video and audio in all areas except washrooms. We use these recordings for security, safety, rule enforcement, and the protection of our equipment and property. We do not use surveillance recordings for marketing or advertising.

Recordings are kept for 60 days and then automatically deleted. If a recording is needed to investigate an incident, damage, or rule violation, or to support an insurance claim, legal proceeding, or police investigation, we keep it for as long as that matter requires. Access to recordings is limited to authorized people.

5. Cookies, analytics, and advertising

We use cookies and similar technologies on our website, including:

- Google Analytics, to understand how visitors find and use our website.

- Meta Pixel, to measure the performance of our advertising on Facebook and Instagram and to show relevant ads to people who have visited our website.

You can block or delete cookies through your browser settings, opt out of Google Analytics using Google's opt-out browser add-on, and manage how Meta uses your information through your Facebook or Instagram ad preferences. Blocking cookies may affect how parts of our website work.

6. Who we share your information with

We share personal information only as needed with:

- Birrdi, our booking platform, which manages bookings, accounts, memberships, and access codes.

- Square, our payment processor.

- Google and Meta, for website analytics and advertising measurement, as described in Section 5.

- Police and law enforcement, when an incident requires their involvement or when we are required or permitted by law to disclose information.

- Insurers, when information or recordings are needed to support an insurance claim.

- Professional advisors, such as lawyers and accountants, where needed to provide their services to us.

- A buyer or successor, if our business is sold, merged, or reorganized, subject to this Privacy Policy.

Our service providers may only use your information to provide services to us. We do not sell or rent your personal information to anyone.

7. Where your information is stored

Some of our service providers store or process personal information outside Canada, including in the United States. While it is outside Canada, your information is subject to the laws of that country and may be accessible to its courts, law enforcement, and national security authorities.

8. How long we keep your information

- Surveillance recordings: 60 days, unless needed for a longer period as described in Section 4.

- Account, booking, and membership records: For as long as your account is active, and for [X years] afterward.

- Signed waivers: For [X years] after your last visit, to meet legal and insurance requirements.

- Payment and transaction records: As long as required for accounting and tax purposes.

When we no longer need personal information, we delete it or make it anonymous.

9. How we protect your information

We use reasonable physical, technical, and administrative safeguards to protect personal information from loss, theft, and unauthorized access, use, or disclosure. Access is limited to people who need it to operate our business. No method of storage or transmission is completely secure, so we cannot guarantee absolute security.

10. Your rights and choices

What this means for you: You can ask to see the information we hold about you, ask us to fix it, or unsubscribe from our emails anytime. Just email us.

Subject to applicable law, you have the right to:

- Request access to the personal information we hold about you.

- Ask us to correct information that is inaccurate or incomplete.

11. Children's privacy

We do not knowingly collect personal information directly from children. Information about guests under 18, such as a minor's name on a Waiver, is provided by their parent or legal guardian. If you believe a child has provided us with personal information without a parent or guardian's consent, contact us and we will delete it.

12. Changes to this policy

What this means for you: We'll update this policy as things change. The date at the top of the page tells you when it last changed.

We may update this Privacy Policy from time to time by posting the revised version on our website with a new "Last updated" date. If we make a significant change to how we use personal information, we will take reasonable steps to let you know.
